About Smile Foundation:

Smile Foundation is a non-governmental organization based in New Delhi, India. It was established in 2002 and benefitting over 15,00,000 underprivileged children, youth, women and their families every year, through 400 live welfare projects on subjects such as education, healthcare, youth employability and women empowerment, across 25 states of India. Adopting a life cycle approach to development, Smile Foundation focuses its interventions on children, their families and the community.

Responsibilities of Executive Assistant:

• Supporting the Executive Trustee in coordination with all employees, external stakeholders.
• Assists the Executive Trustee with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
• Communicates with the general staff/head of departments on the Executive Trustee behalf and coordinates logistics with high-level meetings both internally and externally. Coordinates meetings and strategic activities with the Senior leadership team.
• Conducts research on strategic developments to identify and evaluate current needs and assembles materials needed for the proposals.
• Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks.
• Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.

Desired profile:

• 3 to 5 yrs of experience of working as a EA or similar profile
• Knowledge of MS office and good presentation skills
• Excellent organizational skills and attention to detail.
• Excellent verbal and written communication skills.
• Excellent time management skills with a proven ability to meet deadlines.
• Strong problem-solving skills
• Good writing and analytical skills
• Ability to interact with seniors
• Willingness to learn and flexibility to handle various tasks
• Prior experience of working as a Executive Assistant is preferable
